About the Role

We are seeking an exceptional Executive Assistant to provide strategic support to two senior leaders within our Research & Development team. As the primary point of contact for these executives, you will be responsible for managing and prioritizing their calendars, coordinating travel and events, and providing administrative support as needed. This is a unique opportunity to work in a fast-paced, dynamic environment that combines creativity and technology.

Key Responsibilities

  • Schedule Management & Prioritization: Manage leader calendars, including scheduling meetings, responding to meeting requests, and resolving calendar conflicts in line with leader priorities and studio goals.
  • Travel and Events: Book travel and create detailed itineraries, manage and reconcile expense reports, and greet and assist visitors for work sessions and special events.
  • Collaboration & Communication: Establish positive rapport and strong partnerships with leaders, other assistants, and colleagues, and efficiently prioritize and respond to incoming messages and meeting requests.
  • Administrative Support: Provide general administrative support, including ordering snacks and stocking supplies, and assist with coordination of workshops, team events, and demos.

Requirements

To be successful in this role, you will need to possess a strong combination of administrative, technical, and interpersonal skills. The following qualifications are required:

  • At least 3 years of experience: Supporting a senior executive in an administrative support role.
  • Strong organizational skills: Attention to detail, ability to multi-task, and proficiency in technology (e.g. Microsoft Office, Excel, PowerPoint, Teams, Zoom).
  • Superior interpersonal skills: Emotional intelligence, ability to handle confidential and sensitive information, and demonstrated experience handling complex schedules and tasks.
  • Highly adaptable: Ability to handle shifting priorities and last-minute changes with a calm head and positive attitude.
  • Team player: Positive/easy-going manner to handle varied personalities, responsibilities, and assignments.

Preferred Qualifications

The following qualifications are preferred:

  • 5+ years of administrative experience: Supporting an executive in a dynamic, fast-paced, and demanding environment.
  • Prior experience with office systems and processes: SAP, Concur, Workday, preferably within The Walt Disney Company.
  • Experience managing media files: Asset organization, resizing, watermarking, and large-file exchange.
  • Interest in experiential entertainment: Immersive experiences, and/or new technologies.

Education

A high school diploma is required, and a BA/BS or equivalent is preferred.

Compensation and Benefits

The hiring range for this position in California is $53,300.00-$73,300.00 per year. The base pay actually offered will take into account internal equity and also may vary depending on the candidate's geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
