Facilities Assistant

We are seeking a reliable and detail-oriented Facilities Assistant to support facilities coordination and operational tasks in a remote capacity. In this role, you will assist in managing facility-related requests, coordinating vendors, maintaining records, and ensuring smooth day-to-day operations across company locations.

Although this is a remote position, the role plays a critical part in supporting on-site facilities functions through digital coordination, communication, and administrative oversight.

Key Responsibilities

* Coordinate facilities-related requests, maintenance schedules, and service tickets across multiple locations

* Communicate with vendors, contractors, and internal teams to ensure timely completion of work orders

* Maintain and update facilities records, logs, and documentation

* Track inventory of office supplies, equipment, and maintenance materials

* Assist in managing vendor contracts, service agreements, and compliance documentation

* Monitor facilities budgets, invoices, and expense reports

* Support space planning, office setup coordination, and remote site logistics

* Ensure compliance with health, safety, and environmental regulations

* Provide administrative support to the facilities and operations team

Required Qualifications

* High school diploma or equivalent (Associate's or Bachelor's degree preferred)

* 1–3 years of experience in facilities coordination, administration, or operations support

* Strong organizational and multitasking skills

* Proficiency in Microsoft Office Suite or Google Workspace

* Excellent communication and coordination skills

* Ability to work independently in a remote environment

* High attention to detail and problem-solving ability

* Must be legally authorized to work in the United States (valid U.S. work permit required)

Preferred Qualifications

* Experience with facilities management software (e.g., CMMS systems)

* Familiarity with vendor management and contract coordination

* Basic knowledge of health and safety regulations

* Experience supporting multi-site operations

* Prior experience working remotely or in distributed teams
