[Remote] Service Administrative Coordinator

Note: The job is a remote job and is open to candidates in USA. NV5 is a provider of engineering and consulting services to public and private sector clients, delivering solutions through various business verticals. The Service Administrative Coordinator will assist clients and vendors in closing real estate transactions by ensuring all parties have the necessary resources, while maintaining project documentation and supporting project managers.

Responsibilities

  • Work with Project Managers to understand project scope and client expectations
  • Assist Project Managers with keeping projects on track with clients and vendors
  • Collect documents from vendors and distribute them to 3rd party providers
  • Liaise with clients and contractors to create and maintain comprehensive project documentation, plans, status, and reports
  • Support internal NV5 project controls and performance by maintaining and saving project files, including documents/correspondence to internal drives, invoicing, and accounts receivable

Skills

  • Strong written/verbal communication skills
  • Customer service is #1
  • Minimum one to two years of demonstrated experience in a related work position
  • Proficient with MS Office software, including Outlook, Excel, and Adobe PDF
  • Demonstrated ability to work successfully in a collaborative team environment
  • Excellent organization and time management while working remotely
  • Discretion in dealing with clients and the internal team, including but not limited to basic contractual agreements, confidentiality clauses, and with special attention to sensitivity on a project-to-project basis
  • Experience as an office administrator and/or project coordinator for a firm in the service industry
  • Experience or education in commercial real estate is preferred but not necessary
  • Experience writing business correspondence internally and externally
  • Experience with Outlook, Excel, and Adobe PDF
