About the Role:

This is not just a basic data entry position. As a Data Entry Clerk / Administrative Assistant at arenaflex, you'll be responsible for reviewing data and source documents prior to entry to validate for accuracy, flagging anything that appears incorrect, and proactively seeking out answers if something appears incorrect. Critical thinking skills are a must for this role, and any experience reviewing data/documentation related to blueprints and/or permits would be extremely helpful, as those are the bulk of what you'll be reviewing.

Accountabilities:

As a Data Entry Clerk / Administrative Assistant at arenaflex, your key responsibilities will include:

  • Locating and correcting data entry errors or reporting them to supervisors
  • Compiling, sorting, and verifying the accuracy of data before it is entered
  • Comparing data with source documents, or re-entering data in verification format to detect errors
  • Storing completed documents in appropriate locations
  • Selecting materials needed to complete work assignments
  • Reading source documents such as plans, applications, and paper files, and entering data in specific data fields, using keyboards or scanners
  • Maintaining logs of activities and completed work
  • Downloading data from the web and importing to custom database user interface software
  • Resolving unclear or poorly visible information by communicating with others
  • Working with vendors to coordinate pick-up and drop-off schedules
  • Time Management – Managing one's own time and the time of others
  • Writing – Communicating effectively in writing as appropriate for the needs of the audience
  • Continually seeking to improve practices to add quality and value in support of the work while identifying unnecessary or redundant actions

Required/Desired Skills:

To succeed in this role, you'll need to possess the following skills and qualifications:

  • Professional experience reviewing various data and document sources for accuracy and completing data entry once accuracy is confirmed (Required)
  • 3+ years of experience compiling, coding, categorizing, calculating, tabulating, auditing, or verifying information or data (Required)
  • Experience reviewing data/documentation specifically related to blueprints and/or permits in a previous role (Highly Desired)
  • Proactive communication skills, including experience communicating information to supervisors, co-workers, and vendors by telephone, in written form, email, or in person (Required)
  • Experience running various database user queries and searches (i.e. Microsoft Access) (Required)
  • Experience converting Word to PDF, binding multiple PDFs into one, redacting text, and highlighting in Adobe Acrobat Professional (Desired)
  • Microsoft Office products (e.g., Word, Excel, Outlook) (Required)
  • Internet Browser experience (i.e., Microsoft Edge, Google Chrome, Firefox) (Required)
  • Experience working with Microsoft Teams in relation to shared files and document/file collaboration (Required)
  • Ability to lift a full banker's box (approximately 35 pounds) (Required)
  • Critical thinking and problem-solving skills, including the ability to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems (Required)
