Installation Services Administrator

About the position The Installation Services Administrator supports sales team members, customers and partner installers handling HVAC, appliance, and water heater installations, service calls, and preventative maintenance. The role oversees diagnostic calls and findings, schedules all jobs, processes invoices, completes warranty registrations, monitors team email inboxes, and assists with the administrative requirements of vendor onboarding.

Responsibilities

  • Manage all diagnostic requests, reporting of findings, scheduling and invoice processing.
  • Register equipment for extended warranty coverage.
  • Monitor and respond to Installation Team related email communications.
  • Support Installer Onboarding by reviewing and processing vendor-onboarding emails.
  • Prioritize orders with past installation or service dates by coordinating with partner installers to confirm job completion and ensure timely invoice processing.
  • Assist coordinators by distributing invoice discrepancies and Medius-related requests.

Requirements

  • A high school diploma or GED is required.
  • Strong communication, organizational and time management skills.
  • Strong verbal and written English language skills.
  • Strong interpersonal skills.
  • Proficiency with MS Office Suite products (Word, Excel, PowerPoint, and MS Outlook) and SalesPad.
