We are seeking an expert GoHighLevel (GHL) Architect to build a Master Template CRM for medical and dental practices using the GHL Agency Unlimited ($297) tier with the HIPAA Add-on. The goal is to provide an all-in-one experience where our clients can manage leads, automate patient follow-ups, and run email marketing campaigns without ever leaving the platform or using third-party tools like Zapier or Mailchimp. REQUIREMENTS: Native HIPAA Infrastructure To ensure strict HIPAA compliance and maintain a clear chain of custody for Protected Health Information (PHI), 100% of the patient automation must be built natively within GHL Workflows. We will NOT use Zapier or any third-party tool for handling patient data. 100% Native Workflows: All data movement, lead routing, and patient follow-ups must occur within GHL to maintain the HIPAA security boundary. GHL HIPAA Add-on: Configuration of the agency-level HIPAA compliance package. Security & Encryption: Verification that all custom fields and forms are mapped to encrypted contact fields. Master Snapshot: A plug-and-play template including the pre-built email marketing templates, funnels, and workflows. Native Email & Communication Email Marketing: Configuration of GHL’s native email builder for newsletters and nurture sequences, utilizing LC Email/Mailgun with a verified BAA. SMTP Compliance: Verification that the email pipe is encrypted and legally covered under the agency's HIPAA agreement. Marketing vs. Transactional Logic: Setup of distinct folders or tags to manage transactional (appointments) vs. marketing (newsletters) to ensure high deliverability and compliance. Native Workflow Automations Lead Capture & Validation: Automated intake via native GHL forms with real-time internal notification to staff. Patient Nurture Sequences: Multi-channel sequences (Email/SMS) using GHL’s native builders. Appointment Management: Native reminders, confirmation requests, and no-show follow-up sequences. De-identified Notifications: Internal staff alerts that notify new patient leads without displaying PHI in unencrypted push notifications or emails. Integration & Reporting Dialpad Integration: Utilizing GHL's native integration or direct API to avoid third-party automation tools. Compliant SMTP: Use of GHL’s native LC Email Marketing (Mailgun with BAA). Master Snapshot: Bundling all native workflows into a deployable snapshot for new medical/dental sub-accounts. SCOPE OF WORK Master Snapshot Development: Build a Snapshot including funnels and email marketing suite for manual deployment to new sub-accounts. Use of custom values for all practice-specific info (Clinic Name, Logo, Address, Phone). Native Workflows: Architect all lead follow-up, patient nurturing, and reminder sequences using GHL’s internal automation engine only. Compliance Protocol: Configure staff notifications to not expose PHI in unsecure channels. Native HIPAA Email Marketing: Configure GHL’s native email marketing system. This includes setting up LC Email/Mailgun with a BAA and building out reusable transitional styled email templates for medical newsletters. Integrations: Connect Dialpad via native GHL integration or direct API. AI Implementation: Deploy GHL AI features (Conversation & Workflow AI) for patient interaction. Reporting: Design a dashboard within GHL to track touchpoints, cost-per-lead and conversion metrics. Technical Requirements: Proven track record of building complex Native GHL Workflows (No-Zapier approach). Expert knowledge of HIPAA compliance within the GHL ecosystem. Proven ability to create and deploy sophisticated Snapshots for the healthcare niche. Proficiency in GHL’s Conversation AI and reporting tools. Deliverables: A fully optimized Snapshot with 100% native automations and custom values. A functional Alpha sub-account demonstrating the native workflow logic. Verification SOP (A2P 10DLC Registration). A compliance audit document confirming that no PHI leaves the GHL ecosystem during automation.
