Executive Administrative Assistant - Entertainment Industry

Our client, a prestigious entity within the entertainment sector, is seeking a highly organized and proactive Executive Administrative Assistant to provide comprehensive support to senior leadership. This role is critical to ensuring the smooth and efficient operation of executive functions and is a fully remote position, enabling you to work from any location in the US. The ideal candidate will possess exceptional discretion, meticulous attention to detail, and a proactive approach to problem-solving. Responsibilities: Manage complex calendars, scheduling meetings, appointments, and travel arrangements with precision. Coordinate domestic and international travel, including flights, accommodations, visas, and ground transportation, ensuring seamless itineraries. Prepare, edit, and proofread correspondence, reports, presentations, and other documents with a high degree of accuracy. Screen and prioritize incoming communications, acting as a gatekeeper and liaison for executives. Organize and manage digital and physical files, ensuring information is readily accessible and secure. Handle confidential and sensitive information with the utmost discretion and professionalism. Assist with event planning and coordination for executive meetings and company functions. Conduct research and gather information as needed to support executive initiatives. Process expense reports and manage administrative budgets. Proactively anticipate needs and offer solutions to potential issues before they arise. Collaborate with other administrative staff to ensure efficient office operations. Qualifications: High school diploma or equivalent required; Associate's or Bachelor's degree preferred. Minimum of 5 years of experience providing executive-level administrative support, preferably in the entertainment, media, or a related fast-paced industry. Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and familiarity with virtual collaboration tools (e.g., Zoom, Teams, Slack). Exceptional organizational and time management skills, with the ability to multitask and prioritize effectively. Excellent written and verbal communication skills, with a keen eye for detail. Strong interpersonal skills and the ability to build rapport with diverse individuals at all levels. Demonstrated ability to handle confidential information with the highest degree of integrity and professionalism. Resourceful, proactive, and able to work independently with minimal supervision. Adaptable and able to thrive in a dynamic, remote work environment. Experience with project management tools is a plus.
