Workplace Project Coordinator - Greater Boston Area
MovePlan is a people-first business that has been transforming workplace change since 1986. The Workplace Project Coordinator will support workplace change and relocation projects for a diverse client base, collaborating with project leads to implement strategies and deliver high-quality services.
Responsibilities
- Representing MovePlan with confidence and professionalism on client sites
- Providing general project support to the existing project team
- Tracking progress of project management activities on behalf of the project team
- Creating and delivering project stakeholder communications
- Preparing for, attending and documenting notes for client and internal project meetings
- Coordinating with and scheduling internal and external business partners or third-party vendors
- Performing on-site physical space audits and inventories
- Collecting and managing project data using Microsoft Office tools
- Delivering some presentations both virtually and in-person
- Supporting on-site project activities (locally and travelling)
- Occasional weeknight and weekend work on-site
- Completing internal MovePlan administrative tasks
- Supporting business development through networking, events, and proposal activity
Skills
- 1+ years' experience in supporting or managing projects
- Customer service or hospitality experience with a passion for service-based work
- Demonstrated leadership abilities
- Strong communication and presentation skills
- Great organization skills, attention to detail, and written communication
- Ability to adapt quickly to remain effective in changing priorities and fast-paced environments
- Strong time management and follow-through skills
- Ability to manage multiple priorities and deadlines simultaneously
- Ability to maintain professionalism and composure under pressure
- Demonstrated problem-solving and decision-making skills
- Ability to build relationships and collaborate effectively with cross-functional teams
- Self-motivated; works independently and takes initiative
- Experience coordinating vendors, consultants, or external partners
- Comfort navigating ambiguity and evolving project requirements
- Solid Microsoft Office skills with a focus on Excel, PowerPoint and Teams
- Positive, team-oriented attitude with a willingness to support broader team needs
- Willingness to travel and work occasional weekends
- Experience in one or more of the following: Leading projects, events or teams
- Supporting move, workplace, or change management projects
- Working in a consultant role
- Marketing, graphic design, or sales-oriented roles
- Corporate/Residential real estate or facilities management experience
- Active Change or Project Management certifications or similar
- Active membership within industry networking organizations
