The University of Illinois Chicago is a prominent urban public research university seeking a Program Assistant for the Department of Computer Science. This role involves providing essential support to the department's academic and research programs, ensuring smooth operations and overall program success.

Responsibilities

  • Assist Program Directors and Principal Investigators of research programs in editing proposal documents, organizing materials, collecting data, preparing quotes, and coordinating communications
  • Coordinate and manage schedules, events, and meeting logistics for various committees, research groups, and external visitors involved in academic and research collaborations
  • Provide support to the Assistant to the Head office and the Department search committees in coordinating logistics and activities for candidates
  • Monitor and process purchasing, reimbursement, Telecom, and facilities management requests to ensure smooth operation of teaching and research programs
  • Coordinate and support department-hosted student involvement events and conferences
  • Compile, organize, and analyze data related to the department's teaching and research programs, including space data. Assist in data requests for internal and external surveys and reporting
  • Address inquiries and provide Department program information to visitors and students
  • Monitors incoming communications on Department program listservs by routing, responding, and processing requests
  • Co-mentor, train, and supervise student workers, overseeing requests related to department teaching and research programs
  • Other duties as assigned

Skills

  • Bachelor's degree
  • Microsoft Excel, Word, Shared documents such as Google suite file management
  • Demonstrated proficiency in addressing customer concerns promptly
  • Knowledge of general program coordination
  • Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction
  • Knowledge of principles and methods for curriculum and training design, teaching and instruction for individuals and groups, and the measurement of training effects
  • Skill in oral and written communication
  • Ability to work effectively with staff, the public, and outside constituency groups
  • Ability to organize and multi-task
  • Ability to supervise and knowledge of administrative concepts and methods
  • Ability to utilize various computer software packages
  • Ability to work independently and exercise judgment in order to be able to analyze and investigate a variety of questions or problems
