Why This Role Matters

The Claims Data Entry Specialist is the backbone of our claims processing engine. By ensuring that every piece of claim information is captured precisely and promptly, you enable the broader organization to make informed decisions, accelerate claim resolutions, and maintain the high standards of service that our clients expect. This position offers a unique blend of clerical precision, customer interaction, and continuous improvement, making it an ideal launchpad for individuals who love detail‑oriented work and enjoy helping people.

Position Overview

Based initially in Richmond, VA, this full‑time role operates on a Monday‑through‑Friday schedule (9 AM – 5 PM) with a 37.5‑hour work week. After a 90‑day on‑site onboarding period, high‑performing specialists will have the opportunity to transition to a 100 % remote work arrangement, giving you the flexibility to balance professional growth with personal priorities.

Core Responsibilities

  • Accurate Data Capture: Enter claim details from paper forms, email attachments, phone notes, and other sources into arenaxflex’s proprietary claims management system with zero tolerance for errors.
  • Document Management: Attach supporting documentation (photos, police reports, medical records) to the appropriate claim files and route them to the designated adjuster, supervisor, or department.
  • Claim Adjustments: Perform routine modifications such as voiding claims, updating loss types, correcting dates of loss, and processing other change requests while adhering to compliance guidelines.
  • Customer Interaction: Provide backup phone coverage, answer inbound calls, and assist customers with basic inquiries, ensuring a courteous and solution‑focused experience.
  • Chat Support: Respond to real‑time chat messages from policyholders and internal users, delivering prompt, accurate information and escalating complex issues when necessary.
  • Cross‑Functional Support: Assist the contact center, underwriting, and finance teams with ad‑hoc tasks, data pulls, and reporting requests as directed by management.
  • Continuous Improvement: Identify repetitive data entry challenges, suggest workflow enhancements, and participate in periodic training sessions to stay current with system updates.

Essential Qualifications

  • High school diploma or equivalent (GED) required; additional post‑secondary coursework is a plus.
  • 2–4 years of experience in a general office environment, demonstrating proficiency in handling multiple administrative tasks simultaneously.
  • Demonstrated ability to prioritize work, meet strict deadlines, and maintain composure under pressure.
  • Strong command of Microsoft Office Suite—Word, Excel, Outlook—and comfort navigating web‑based applications.
  • Excellent written and verbal communication skills, with a focus on delivering professional, empathetic customer service.
  • Meticulous attention to detail, ensuring data integrity and compliance with internal policies and external regulations.

Preferred Qualifications & Additional Assets

  • Associate’s degree or certifications in Business Administration, Office Management, or a related field.

  • Familiarity with claims management software (e.g., Guidewire, ClaimCenter) or similar enterprise platforms.
  • Experience providing support via live chat tools or CRM systems.
  • Basic understanding of insurance terminology (loss type, deductible, subrogation, etc.).
  • Demonstrated commitment to diversity, equity, and inclusion initiatives.

Key Skills & Competencies for Success

  • Analytical Acumen: Ability to interpret claim details, spot inconsistencies, and flag potential issues for further review.
  • Organizational Mastery: Efficiently manage electronic and physical files, ensuring that every document is correctly labeled and stored.
  • Technology Fluency: Quick learner of new software, comfortable with data entry shortcuts, and adept at troubleshooting minor technical glitches.
  • Customer‑Centric Mindset: Empathy and patience when dealing with claimants who may be experiencing stressful situations.
  • Team Collaboration: Strong interpersonal skills to work seamlessly with adjusters, supervisors, and cross‑functional partners.
  • Adaptability: Flexibility to adjust to evolving processes, policy changes, and shifting workload volumes.
