Key Responsibilities

Data Management & Record Keeping

  • Enter, update, and verify client status records in the Statewide Client Service Center, reflecting real‑time production pipeline data.
  • Maintain organized digital and paper participant files in accordance with program guidelines, funder requirements, and privacy standards.
  • Log incoming emails, documents, and communications in the Monday.com platform, ensuring every item is tagged, categorized, and searchable.
  • Follow strict program protocols for database systems including Monday.com, CMS, CSG eConservation, HEARTWAP, LIHEAP, and In Demand.
  • Conduct regular audits of data entries to identify and correct inconsistencies, duplicates, or missing information.

Collaboration & Communication

  • Partner with program staff to streamline information flow, improve service delivery consistency, and support case management teams.
  • Provide timely updates to supervisors and team leads regarding data trends, bottlenecks, or system issues.
  • Assist with clerical duties such as filing, preparing mailings, handling phone inquiries, and supporting virtual meetings.
  • Participate actively in remote staff meetings, supervision sessions, training workshops, and contractual briefings.

Compliance & Confidentiality

  • Uphold the highest standards of confidentiality for client information, adhering to HIPAA, FERPA, and other relevant privacy regulations.
  • Ensure all data handling practices meet arenaflex’s internal policies and external funder mandates.
  • Complete mandatory agency training, professional development courses, and certification programs as required.

Essential Qualifications

  • Associate degree in Business Administration, Human Services, Information Management, or a related field; or equivalent professional experience.
  • Minimum of two (2) years of experience in a human services environment, nonprofit setting, or any role that required interaction with diverse, low‑income populations.
  • Demonstrated ability to work independently in a remote setting while maintaining high productivity and accuracy.
  • Strong written and verbal communication skills; bilingual proficiency in Spanish is highly preferred.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and comfort navigating web‑based platforms such as Monday.com, CMS, and other specialized databases.
