Position Overview

As a valued member of the Energy Services team at arenaflex, the Data Entry Clerk (Typist) will be entrusted with maintaining meticulously organized and up-to-date digital files that directly support the day-to-day operations of critical energy assistance programs. In this role, you will serve as an essential information steward, ensuring that client records, program documentation, and communications flow seamlessly through multiple database systems. Your work will empower program staff, case managers, and leadership to deliver timely, accurate, and compliant services to low-income households seeking energy assistance throughout the region.

Key Responsibilities and Duties

The Energy Services Data Entry Clerk at arenaflex will be responsible for a diverse array of administrative and clerical duties, including but not limited to the following:

  • Client Record Management: Input and maintain updated client status records within the Statewide Client Service Center, ensuring that all entries accurately reflect the current production pipeline and the evolving needs of program participants.
  • Email and Document Monitoring: Diligently monitor incoming emails, log all relevant documents, and record communications in the Monday.com platform upon receipt, ensuring no critical correspondence is overlooked.
  • Database System Compliance: Follow program guidelines for the proper use of all required database systems, including Monday.com, CMS, CSG eConservation, HEARTWAP, LIHEAP, In Demand, and any other proprietary platforms used by the organization.
  • File Organization and Compliance: Maintain highly organized digital and paper participant files in strict accordance with program guidelines, ensuring full compliance with agency standards and funder requirements.
  • Cross-Functional Collaboration: Collaborate closely with program staff to support, enhance, and promote seamless communication and consistency in the delivery of services to clients.
  • General Clerical Support: Assist with various clerical duties, such as filing, mailings, phone coverage, document preparation, and other administrative tasks as assigned.
  • Remote Work Availability: Maintain consistent availability for remote work, including attending virtual meetings, participating in calls, promptly responding to emails, and conducting all regular duties as scheduled.
  • Meeting and Training Participation: Attend all required staff meetings, supervision sessions, training programs, and contractual meetings, both virtually and occasionally in person.
  • Professional Development: Actively participate in mandatory agency training and other relevant professional development activities designed to enhance skills and expand knowledge.
  • Confidentiality Maintenance: Ensure strict confidentiality is maintained in all aspects of the role, particularly when handling sensitive client information and protected data.

Required Qualifications and Skills

Education and Experience

  • Educational Background: An Associate degree from an accredited institution, or equivalent professional experience that demonstrates comparable knowledge and skills.
  • Professional Experience: A minimum of two years of experience in Human Services or a closely related field, or applicable work experience working with diverse individuals and families with low incomes.
  • Flexible Substitution: Additional appropriate education may be substituted for experience, or additional directly related experience may be substituted for education, providing flexibility for candidates with non-traditional career paths.
