Why This Role Matters

The Medical Records Data Entry – Overnight (12‑hour shift) position is a critical component of our Release of Information (ROI) team. In this role, you will be the bridge between healthcare providers, insurance agents, beneficiaries, and legal representatives, ensuring that every claim is accurately documented, securely processed, and delivered on time. Your meticulous attention to detail and commitment to quality will directly impact the speed and reliability of our clients’ information flow, reinforcing arenaflex’s reputation for excellence.

Key Responsibilities

  • Document Preparation & Scanning: Sort, staple‑remove, and organize hard‑copy medical records for digitization; scan documents to create high‑quality electronic images.
  • Claims Processing: Prepare claim forms, verify supporting documentation, and ensure compliance with federal, state, and company regulations.
  • Communication & Coordination: Liaise with insurance agents, beneficiaries, attorneys, patients, and hospital staff to gather missing information and resolve discrepancies.
  • Data Management: Accurately enter and maintain policy and claim information in arenaflex’s database systems, preserving order and sequence of records.
  • Quality Assurance: Review scanned images for clarity, completeness, and adherence to production standards; correct any deficiencies before final submission.
  • Clerical Support: Perform routine office tasks such as filing, sorting, and preparing hard‑copy records for shipment or secure storage.
  • Compliance Monitoring: Stay up‑to‑date with industry regulations and internal policies, ensuring every action aligns with legal and ethical standards.

Essential Qualifications

  • Minimum 1 + year of experience in medical data entry or a related healthcare environment.
  • At least 1 + year of experience in a medical front‑desk or patient‑service role, demonstrating familiarity with medical terminology.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and basic computer operations.
  • Strong written and verbal communication skills in English; ability to convey information clearly to coworkers, management, and external partners.
  • Demonstrated ability to maintain meticulous record order, sequence, and accuracy under tight production timelines.
  • Physical capability to handle records – removing staples, sorting, filing, and boxing documents.

Schedule & Training

Shift: 6:00 pm – 6:00 am (12‑hour overnight)

Training Period: The first 3–6 months will be a day‑shift training program (Monday‑Friday, 8 am – 5 pm) to ensure you are fully equipped for overnight responsibilities.

Regular Days: Thursday, Friday, Saturday, and every other Wednesday.
