The Workplace Operations Manager will lead the development and scalability of workplace functions, focusing on designing efficient systems and aligning operations with business goals.

Responsibilities

  • Develop and implement workplace operations strategies aligned with company growth plans
  • Design scalable processes, policies, and systems to support current and future office needs
  • Identify and drive continuous improvement initiatives across workplace operations
  • Partner with leadership on workplace strategy, capacity planning, and future expansion
  • Use data and insights to inform decisions around space utilisation, cost, and efficiency
  • Oversee office operations through coordination with Office Management and front-of-house support
  • Own vendor strategy, contract negotiation, and performance management across cleaning, maintenance, facilities, and related services
  • Lead workplace planning initiatives, including layout optimisation, office expansions, and new locations
  • Ensure compliance with health, safety, and regulatory standards at a strategic level
  • Act as the escalation point for complex facilities or operational issues
  • Own and manage workplace operations budgets, including OPEX and CAPEX
  • Track and optimise spend across vendors, services, and infrastructure
  • Identify cost-saving opportunities and improve resource allocation
  • Lead procurement strategy for office-related services and equipment
  • Define and evolve the workplace experience strategy
  • Partner with People/HR teams on initiatives impacting employee experience
  • Ensure workplace design supports productivity, collaboration, and engagement
  • Provide guidance on workplace programmes rather than owning logistics
  • Partner with IT to ensure workplace systems and tools are scalable and effective
  • Evaluate and implement tools that improve workplace operations and reporting
  • Drive operational efficiency through system improvements and automation
  • Build workplace operations frameworks that can scale across multiple locations
  • Support new office launches and expansion projects
  • Establish standards and playbooks for consistent workplace experience across sites

Skills

  • Proven experience in Workplace Operations, Facilities Management, or a similar strategic role
  • Strong experience scaling office environments or supporting organisational growth
  • Demonstrated ability to build processes and systems from the ground up
  • Experience managing complex vendor ecosystems and contracts
  • Solid understanding of facilities and building systems, including HVAC and compliance
  • Strong financial acumen, including OPEX and CAPEX budget ownership
  • Strategic mindset with the ability to step back from day-to-day execution
  • Excellent stakeholder management skills, particularly with senior leadership
  • Experience managing multi-site or international office operations
  • Background in high-growth or scaling organisations
  • Experience implementing workplace tools or systems
  • Exposure to workplace strategy, real estate, or space planning
