Key Responsibilities

Executive Administrative Support

  • Manage and maintain complex executive calendars, including scheduling appointments, internal and external meetings, conference calls, and recurring leadership cadences across multiple time zones.
  • Serve as the primary gatekeeper for incoming calls, emails, correspondence, and requests, screening inquiries and directing them to the appropriate stakeholders with sound judgment and professionalism.
  • Draft, edit, and prepare high-quality reports, executive presentations, board materials, briefing documents, and formal correspondence on behalf of senior leadership.
  • Organize, maintain, and continuously optimize both electronic and physical filing systems to ensure rapid retrieval of sensitive information and organizational documents.
  • Prepare, review, and submit executive expense reports, financial documentation, and reimbursement requests with a strong focus on accuracy and compliance.

Meeting Coordination and Executive Communications

  • Schedule, coordinate, and manage logistics for board meetings, leadership offsites, client meetings, and cross-functional working sessions, ensuring all materials, agendas, and pre-reads are prepared and distributed in advance.
  • Attend meetings as required, capture detailed and accurate minutes, and circulate comprehensive summaries and action items to relevant participants in a timely manner.
  • Proactively follow up on action items, track progress against deadlines, and ensure accountability for commitments made during executive discussions.
  • Coordinate cross-functional communication between the executive team and internal departments, external partners, vendors, and key stakeholders.

Travel Management and Global Logistics

  • Arrange complex domestic and international travel itineraries, including flights, ground transportation, accommodations, visas, and detailed daily schedules.
  • Prepare and manage all travel-related documentation, including visa applications, passport renewals, travel insurance, and expense reconciliation.
  • Anticipate potential travel disruptions and resolve issues in real time, ensuring seamless and stress-free experiences for executives on the move.
  • Maintain awareness of global travel advisories, time zones, cultural considerations, and executive preferences to deliver tailored travel arrangements.

Event Planning and Coordination

  • Lead the planning, coordination, and execution of company events, leadership retreats, conferences, client gatherings, and internal celebrations.
  • Manage end-to-end event logistics, including venue selection, vendor negotiation, catering, AV setup, guest lists, invitations, and on-site execution.
  • Partner with internal teams and external vendors to deliver polished, memorable events that reflect arenaflex's brand and standards.

Personal Assistance and Discretionary Support

  • Provide personal support to executives as needed, including managing personal appointments, household coordination, errands, and family logistics.
  • Handle highly confidential information with the utmost discretion, professionalism, and integrity at all times.
  • Serve as a trusted partner and confidant, supporting work-life integration for executives through thoughtful planning and proactive problem-solving.

Special Projects and Strategic Initiatives

  • Lead and support special projects, initiatives, and ad hoc assignments as directed by the executive team.
  • Conduct research, gather data, and compile reports to support strategic decision-making and executive planning.
  • Partner with cross-functional teams on initiatives spanning operations, human resources, finance, communications, and business development.
  • Identify opportunities to streamline processes, improve efficiency, and introduce innovative tools or systems to enhance executive productivity.

Qualifications

Essential Requirements

  • Education: Bachelor's degree in Business Administration, Communications, or a related field preferred. Equivalent professional experience will be considered.
  • Experience: Minimum of 5 years of progressive experience as a Personal Assistant, Executive Assistant, or in a similar senior-level support role supporting C-suite or senior leadership.
  • Technical Proficiency: Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with collaboration and productivity tools such as Google Workspace, Slack, Asana, Trello, or similar platforms.
  • Communication Skills: Exceptional written and verbal communication abilities, with a demonstrated capacity to draft polished, executive-level correspondence.
  • Organizational Mastery: Outstanding time-management, prioritization, and multitasking capabilities, with a track record of managing competing demands in high-pressure environments.
  • Discretion and Integrity: A demonstrated commitment to maintaining confidentiality and handling sensitive information with professionalism and sound judgment.
  • Availability: Flexibility to work outside regular business hours, including evenings, weekends, and during executive travel, as needed.

Preferred Qualifications

  • Prior experience supporting multiple senior executives simultaneously in a fast-paced corporate environment.
  • Familiarity with project management methodologies and tools.
  • Experience coordinating international travel and managing complex logistics across multiple time zones.
  • Background in event planning, conference coordination, or executive retreat facilitation.
  • Exposure to publicly traded companies, board governance, or investor relations environments is a plus.
