Role Objective We are looking for an organized, empathetic, and detail-oriented Pre-Filing Specialist to join our Onboarding & Evidence Team. In this role, you will be the bridge between our new clients and the legal team, ensuring a seamless transition into our firm. You will manage the initial stages of the client journey—from opening matters and conducting onboarding calls to gathering, translating, and organizing crucial evidence. The ideal candidate thrives in a fast-paced environment, excels at high-volume caseload management, and possesses the emotional intelligence needed to support clients going through stressful or sensitive situations. Responsibilities/Duties Conduct onboarding calls: Welcome new clients, gather required background information, and explain the onboarding process clearly without providing legal advice. Client care: Maintain consistent communication with clients, providing timely updates regarding next steps and following up on outstanding documents, questionnaires, signatures, photos, and records. Language support: Translate client documents and assist with Spanish/English interpretation during calls when needed. File setup: Open new client matters in Filevine, ensuring client profiles are accurate. Review contracts, HubSpot info, intake notes, and prior communications before starting onboarding. Evidence gathering: Collect, review, organize, rename, and upload client evidence. Government requests: Request, track, and process government evidence (including FOIA and background requests) according to firm training. Documentation: Prepare clear case notes, task updates, and next-step documentation within Filevine. Issue identification: Spot missing information, urgent issues, or complex client questions, and identify when a matter requires attorney or paralegal review. Cross-department coordination: Partner with paralegals, attorneys, reception, sales, finance, and other departments to keep cases moving. Case handoff: Support the smooth transition of cases to the paralegal team once onboarding and evidence collection are complete. This role requires strong client-centered communication. You must be able to speak with clients in a calm, respectful, and empathetic way, especially when they are frustrated, scared, confused, or emotional. Requirements. High-Volume Management: Strong organization and time management skills; ability to handle multiple priorities and a heavy caseload. Attention to Detail: Deep focus on accuracy when following processes and documenting case work. Adaptability: Comfort with process changes, shifting priorities, and fast-paced environments. Tech-Savvy: Proficiency with case management systems, calendars, email, Teams, and spreadsheets. Bilingual Proficiency: English/Spanish bilingual skills are highly preferred for client communication, interpretation, and document translation. Professional Boundaries: Clear understanding of the difference between administrative/legal support and giving legal advice. Immigration Law: Prior experience in immigration legal support is a plus. Case Types: Familiarity with family-based, humanitarian, consular processes, T Visa, U Visa, VAWA, AOS, or similar case types. Background Requests: Experience requesting or processing FOIAs, FBI background checks, police records, or court records. Software: Experience using Filevine, HubSpot, Monday.com, Outlook, or Teams is highly advantageous. What We Offer. Full-time, long-term remote contract position. $26,000 to $30,000 net depending on experience. M-F 9am to 6pm Arizona Time.
