Our mission is to create a world where accurate, timely health information fuels better patient outcomes and smarter business decisions.

Why This Role Matters

In today’s data‑centric healthcare environment, the accuracy of medical documentation directly impacts patient care, insurance processing, and legal compliance. As a Remote Healthcare Data Entry Specialist at arenaflex, you will be the backbone of a critical workflow that transforms raw medical records into structured, actionable data. Your work will enable clinicians, insurers, and administrators to make informed decisions faster, reduce claim denials, and improve overall service quality.

Role Overview

This position is a 100 % remote, metrics‑driven contract that may transition to a permanent role based on performance. You will work Monday through Friday, 8:00 AM – 5:30 PM EST, handling a steady flow of medical documents such as Independent Medical Reviews, claim forms, and clinical summaries. The role blends meticulous data entry with proactive client coordination, requiring both technical precision and strong communication skills.

Key Responsibilities

  • Extract critical information from a variety of medical documents—including PDFs, scanned images, and handwritten notes—and accurately input data into Microsoft Excel or Word templates.
  • Maintain a high level of data integrity by performing double‑checks, cross‑referencing source materials, and adhering to arenaflex’s quality‑control standards.
  • Collaborate with fellow coordinators and supervisors to resolve ambiguities, answer client inquiries, and ensure timely case completion.
  • Utilize critical‑thinking frameworks to determine next steps for incomplete or unclear records, and proactively reach out to clients via phone or email to obtain missing information.
  • Track personal performance metrics (e.g., cases processed per hour, accuracy rate) and meet or exceed established quotas while maintaining compliance with HIPAA and other privacy regulations.
  • Document all communications, decisions, and data‑entry actions within the electronic case management system to provide a clear audit trail.
  • Participate in regular virtual team meetings, training sessions, and performance reviews to continuously improve processes and stay current with industry best practices.

Essential Qualifications

  • High School Diploma or equivalent; additional post‑secondary education in health administration, business, or a related field is a plus.
  • Minimum of one year proven remote work experience, demonstrating reliable self‑management and the ability to meet deadlines without direct supervision.
  • Demonstrated proficiency with Microsoft Office Suite—especially Excel (including formulas, pivot tables, and data validation) and Word.
  • Reliable high‑speed internet connection and a personal computer or laptop (no Chromebooks) that meets arenaflex’s technical specifications.
  • Strong written and verbal communication skills, with the ability to convey complex information clearly and courteously over the phone.
  • Experience working in a metrics‑oriented environment, with a track record of meeting or exceeding productivity and accuracy targets.
  • Basic understanding of healthcare terminology, insurance processes, or medical claims is preferred but not mandatory.

Preferred Qualifications & Experience

  • Previous experience in healthcare data entry, medical billing, claims processing, or a related field.
  • Familiarity with electronic health record (EHR) systems or other healthcare information platforms.
  • Certification such as Certified Medical Reimbursement Specialist (CMRS) or Certified Professional Coder (CPC).
  • Experience handling confidential patient information in compliance with HIPAA, GDPR, or other privacy regulations.
  • Demonstrated ability to work in fast‑paced, high‑volume environments while maintaining meticulous attention to detail.

Core Skills & Competencies

  • Analytical Acumen: Ability to interpret medical jargon, identify key data points, and translate them into structured formats.
  • Time Management: Efficiently prioritize tasks, manage workload, and adhere to strict turnaround times.
  • Customer Service Orientation: Empathetic communication style when interacting with clients, providers, and internal stakeholders.
  • Technology Savvy: Comfortable navigating multiple software applications, troubleshooting minor technical issues, and adapting to new tools.
  • Quality Focus: Commitment to delivering error‑free work, with a keen eye for inconsistencies and a proactive approach to correction.
  • Team Collaboration: Ability to work independently while also contributing to a virtual team environment, sharing knowledge, and supporting peers.

  • A transparent feedback loop where your contributions are recognized, and your ideas can shape process improvements.
  • Commitment to diversity, equity, and inclusion—arenaflex is an equal‑opportunity employer that values the unique perspectives each team member brings.
