Position Overview

As a Dispatch / Customer Service Representative at arenaflex, you will be the voice of the company, handling inbound calls, assessing customer needs, and coordinating service technicians across our service area. Your role is pivotal in ensuring that every customer interaction ends with a satisfied client and a well‑executed service appointment.

Key Responsibilities

  • Answer a high volume of inbound calls with professionalism and empathy.
  • Gather essential information to accurately assess customer service requests, including chimney cleaning, repairs, and air‑duct maintenance.
  • Dispatch qualified technicians to customer locations, optimizing routes for efficiency and timeliness.
  • Maintain detailed records of each customer interaction in our CRM system, ensuring data integrity and up‑to‑date status.
  • Provide real‑time updates to customers regarding technician arrival times, service progress, and any changes to scheduled appointments.
  • Resolve customer complaints and concerns swiftly, offering appropriate solutions and following up to confirm satisfaction.
  • Identify opportunities for add‑on sales and upsell additional services, contributing to the company’s revenue goals.
  • Collaborate closely with the field team, office staff, and management to streamline dispatch processes.
  • Adhere to company policies, safety guidelines, and communication protocols at all times.
  • Participate in ongoing training sessions to stay current on industry best practices, product knowledge, and customer service techniques.

Essential Qualifications

  • High school diploma or GED equivalent (required).
  • Minimum of two years’ experience in a customer service or client‑facing role.
  • Demonstrated dispatching experience or the ability to quickly learn dispatch software and routing principles.
  • Proficient with CRM platforms; experience with Salesforce, HubSpot, or similar systems is a plus.
  • Exceptional phone etiquette, active listening, and problem‑solving skills.
  • Ability to remain calm and composed while handling challenging customer situations.
  • Valid driver’s license (required for occasional field visits or emergency dispatch support).
  • Successful completion of a background check and drug screening.
