For years, our firm has built a legacy of client-centered representation, combining deep legal expertise with a personal commitment to the communities we serve. We are proud of our inclusive culture, our dedication to integrity, and our investment in the professional growth of every team member.

We are currently seeking a meticulous and motivated Senior Legal Data Entry Analyst to join our expanding operations team. This role is ideal for a detail-oriented professional who thrives in a structured, fast-paced legal environment and is eager to contribute to the smooth functioning of impactful legal processes. If you are passionate about precision, organization, and supporting meaningful work, arenaflex offers the perfect environment to grow your career.

Position Overview

As a Senior Legal Data Entry Analyst at arenaflex, you will play a critical role in maintaining the integrity of our case management systems and supporting the daily operations of our legal teams. You will be responsible for inputting, verifying, and managing large volumes of sensitive client and case data, while collaborating closely with attorneys, paralegals, and administrative staff. This position requires exceptional attention to detail, strong organizational skills, and the ability to handle confidential information with the utmost discretion. Beyond data management, you will contribute to report generation, workflow optimization, and process improvement initiatives that directly impact our firm's ability to serve clients effectively.

This is more than a traditional data entry role—it is an opportunity to become an integral part of a legal team that is making a real difference in the lives of individuals and families navigating immigration and labor matters. We are looking for someone who takes ownership of their work, embraces accountability, and is eager to develop professionally within a supportive and dynamic environment.

Key Responsibilities

  • Accurately input, update, and maintain client and case information in the firm's case management database, ensuring all records are current and error-free.
  • Verify the accuracy, completeness, and consistency of data before entry, performing quality checks to uphold the highest standards of data integrity.
  • Organize and maintain both electronic and physical filing systems, ensuring documents are easily accessible and properly archived in compliance with firm policies.
  • Generate routine and ad-hoc reports for attorneys and paralegals, assisting with data analysis to support case strategy and operational decision-making.
  • Collaborate closely with attorneys, paralegals, and administrative staff to ensure seamless information flow and alignment on data-related processes.
  • Manage and prioritize multiple data entry tasks simultaneously, meeting tight deadlines while maintaining accuracy and composure under pressure.
  • Identify opportunities to streamline data management workflows and recommend process improvements to enhance efficiency across the firm.
  • Support the administrative team with additional operational tasks, including scheduling, document preparation, and correspondence management as needed.
  • Maintain strict confidentiality when handling sensitive client information, adhering to all legal and ethical standards governing data privacy.
  • Stay current on firm software updates, data management best practices, and relevant regulatory requirements affecting legal data handling.

Essential Qualifications

  • Educational Background: A high school diploma or equivalent is required. An associate's degree or bachelor's degree in business administration, legal studies, information management, or a related field is strongly preferred.
  • Professional Experience: Demonstrated experience in data entry, administrative support, or a similar role, ideally within a legal, professional services, or corporate environment.
  • Technical Proficiency: Advanced skills in Microsoft Office Suite, with particular emphasis on Excel (including formulas, pivot tables, and data sorting) and Word. Familiarity with case management software or legal databases is a plus.
  • Attention to Detail: Exceptional accuracy and a meticulous approach to data verification and record-keeping.
  • Organizational Skills: Strong ability to manage multiple priorities, meet deadlines, and maintain orderly records in a high-volume environment.
  • Confidentiality: Proven ability to handle sensitive and privileged information with the highest level of discretion and professionalism.
  • Communication Skills: Excellent written and verbal communication abilities, with the capacity to interact effectively with attorneys, staff, and occasionally clients.
  • Time Management: Demonstrated ability to work independently, manage time efficiently, and deliver high-quality work under deadline pressure.

Preferred Qualifications

  • Prior experience working in a law firm, legal department, or other professional services environment.
  • Familiarity with immigration and labor law terminology, case documentation, or court filing procedures.
  • Experience with document management systems, cloud-based collaboration tools, or legal practice management platforms.
  • Bilingual capabilities, particularly in Spanish, given the diverse client population served by arenaflex.
  • Demonstrated initiative in identifying and implementing process improvements.

Skills and Competencies for Success

To excel as a Senior Legal Data Entry Analyst at arenaflex, you will need a balanced combination of technical expertise, analytical thinking, and interpersonal skills. The ideal candidate is someone who not only processes information efficiently but also understands the broader impact of their work on the firm's mission and client outcomes. Critical thinking, adaptability, and a proactive mindset are essential, as is the ability to collaborate across departments and contribute to a positive team culture.

  • Analytical Thinking: Ability to interpret data, identify discrepancies, and draw meaningful conclusions to support legal operations.
  • Problem-Solving: Resourceful approach to resolving data inconsistencies and addressing operational challenges.
  • Adaptability: Comfort with shifting priorities, new technologies, and evolving workflows in a dynamic legal environment.
  • Team Collaboration: Strong interpersonal skills with the ability to work harmoniously with diverse team members.
  • Customer Service Orientation: A client-focused mindset that recognizes the importance of accuracy in supporting successful legal outcomes.
  • Initiative: Self-motivated with a drive to continuously improve processes and exceed expectations.

  • Structured onboarding and comprehensive training on firm-specific systems, workflows, and legal terminology.
  • Mentorship opportunities with experienced attorneys, paralegals, and senior administrative staff.
  • Tuition reimbursement and support for continued education in legal studies, business administration, or information management.
  • Clear pathways for advancement into roles such as Senior Data Analyst, Case Management Coordinator, Paralegal, or Operations Manager.
