Job Title: Scheduling Assistant - Entry Level (Remote) Location: Remote Responsibilities: • Coordinate travel arrangements for clients, including flights, accommodations, transportation, and activities. • Utilize booking platforms and travel management systems to schedule and confirm travel plans accurately and efficiently. • Communicate with clients to gather preferences, provide itinerary options, and address any questions or concerns. • Liaise with airlines, hotels, car rental agencies, and other vendors to secure reservations, negotiate rates, and arrange special accommodations. • Monitor travel schedules and make adjustments as needed to accommodate changes or unforeseen circumstances. • Provide clients with relevant travel information, including destination guides, visa requirements, and safety precautions. • Handle cancellations, refunds, and changes to travel plans in a timely and professional manner, following established procedures. • Maintain detailed records of travel arrangements, payments, and client interactions in our database systems. Requirements: • Previous experience in travel coordination, scheduling, or related roles preferred. • Strong organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously. • Excellent communication skills, both written and verbal, with a customer-centric approach. • Proficiency in using booking systems, Microsoft Office, and other relevant software applications. • A proactive and adaptable mindset, with the ability to problem-solve and make decisions independently. • A passion for travel and a commitment to delivering exceptional service to clients. • Ability to work effectively in a remote environment and collaborate with team members across different locations. • Flexibility to work non-traditional hours, including evenings, weekends, and holidays as needed.
