Job Title: Virtual Receptionist ? Real Estate Brokerage Job Overview... We are seeking a highly organized and customer-focused Virtual Receptionist to join our real estate brokerage. As a Virtual Receptionist, you will play a crucial role in ensuring seamless communication between potential clients (leads) and our team of real estate agents. Your primary responsibilities will include efficiently directing incoming leads to the appropriate agents, maintaining a well-organized system for appointments, and providing exceptional customer service. Responsibilities: 1. Lead Management: - Act as the first point of contact for all incoming leads, promptly responding to inquiries via phone, email, or online platforms. - Assess and understand the needs of potential clients to effectively connect them with the most suitable real estate agent within our brokerage. 2. Call Handling: - Manage and route inbound calls to the appropriate agents or departments. - Provide basic information about our services and offerings to potential clients. 3. Appointment Scheduling: - Coordinate and schedule appointments between leads and real estate agents. - Ensure accurate and timely entry of appointments into our system. 4. Customer Service: - Deliver exceptional customer service by addressing inquiries, resolving issues, and providing relevant information. - Maintain a friendly and professional demeanor in all interactions. 5. Data Entry and Organization: - Input and update lead information and interactions in our CRM system. - Keep detailed records of appointments, ensuring accuracy and completeness. 6. Collaboration: - Work closely with the real estate agents and other team members to ensure effective communication and seamless lead handoffs. 7. Adaptability: - Adapt to changes in workflow and assist with additional tasks or projects as needed. Preferred Qualifications: - Previous experience in customer service, reception, or a similar role is preferred. - Familiarity with real estate processes and terminology is a plus. - Excellent communication skills, both verbal and written. - Strong organizational and multitasking abilities. - Proficiency in using CRM software and other office tools. - Ability to maintain composure in a fast-paced environment. This is a virtual position, and the successful candidate must have a reliable internet connection, a quiet workspace, and be comfortable using virtual communication tools such as Zoom, Google Meet, and Outlook Calendar.
