About the position Clinical Operations Program Manager The Clinical Operations Program Manager is a strategic leader responsible for designing, executing, and optimizing programs that drive organizational growth and operational excellence. This role partners with clinical operations and interdepartmental leaders to deliver innovative solutions, manage complex projects, and ensure the highest standards of clinical/operational success for Heartland Dental supported dentists and their teams. About Heartland Dental Heartland Dental is the nation's largest dental support organization, providing non-clinical administrative support services to more than 3,000 supported doctors across 39 states and the District of Columbia in over 1,900 dental offices. Each Heartland Dental supported office is unique to the community and the patients they serve. Supported doctors are the clinical leaders of their practice, retain full clinical autonomy, and establish their own care philosophies. All Heartland Dental supported doctors are united by a common goal: delivering the highest quality dental care and patient experiences. To give you an idea of the team structure, you will work on a project team within clinical/operations, reporting to the director of clinical/operations with a direct connection to programs supported by Clinical/Operations.

Responsibilities

  • Lead cross-functional programs from business case development through implementation, ensuring alignment with organizational goals and operational excellence.
  • Facilitate steering committees, stakeholder meetings, and working groups to drive alignment, consensus, and timely decision-making.
  • Develop and execute clear communication, training, and change management plans that enable adoption and long-term program success.
  • Partner with subject-matter experts to create resources, guides, and job aids that equip supported doctors and team members with the tools needed for success.
  • Define, track, and report program KPIs and success metrics, translating data into actionable insights and recommendations for senior leadership.
  • Prepare and deliver board-level presentations, program updates, and business cases that influence executive decision-making.
  • Oversee program budgets, resource allocation, and vendor relationships to ensure cost-effective execution and strong ROI.
  • Identify and manage program risks, escalating critical issues and implementing corrective actions to achieve on-time, on-budget outcomes.
  • Collaborate with stakeholders across executive, business, clinical, and operations functions to build alignment and enhance program impact.
  • Drive continuous improvement initiatives by leveraging analytics, stakeholder feedback, and lessons learned to optimize future program performance.
  • Mentor and support junior team members, fostering collaboration, innovation, and professional growth.
  • Ensure all programs and related activities adhere to company policies and procedures and comply with applicable regulatory requirements.
  • Support other projects as assigned.
  • Deliver weekly, monthly and quarterly project updates

Requirements

  • An Associates Degree or 2 years of college or 2 years of dental operations experience
  • Dental office experience, clinical and/or operational
  • Excel, PowerPoint experience
  • Strong organizational skills
  • Self-starter
  • Ability to work in a fast-paced environment
  • Be flexible and adapt easily to consistently changing projects and priorities
  • Have strong written, verbal and presentation skills
  • High level of customer service and experience

Nice-to-haves

  • Knowledge of Heartland Dental’s internal systems and processes for programs and projects.
  • College degree
  • Strong understanding of clinical operations and provider program management.
  • Certification in Project Management (PMP, CAPM) or related discipline)
  • Operations Experience to contribute to field knowledge
