Position Overview

The Remote Energy Services Data Entry Specialist plays a critical role in supporting the day-to-day operations of arenaflex's Energy Services Programs. Working remotely, this position is responsible for maintaining highly organized, accurate, and compliant digital records that ensure smooth program delivery and reporting. You will be the gatekeeper of information integrity — inputting client data, monitoring communications, managing participant files, and collaborating with program staff to enhance service consistency.

Reporting to the Energy Services Program leadership, the Specialist will work across multiple database systems and platforms, including industry-standard tools such as Monday.com, CMS, CSG eConservation, HEARTWAP, LIHEAP, and In Demand. Your attention to detail and commitment to confidentiality will directly impact the agency's ability to serve clients efficiently, meet funder requirements, and maintain compliance with all regulatory standards.

Key Responsibilities

  • Client Data Management: Accurately input, update, and maintain client status records within the Statewide Client Service Center, ensuring the production pipeline reflects real-time, current information for all program participants.
  • Email and Communication Monitoring: Regularly monitor incoming emails, log all relevant documents and communications in the Monday.com platform upon receipt, and ensure timely routing of information to the appropriate team members.
  • Database System Utilization: Follow all program guidelines and standard operating procedures for the use of required database systems, including Monday.com, CMS, CSG eConservation, HEARTWAP, LIHEAP, In Demand, and other internal platforms as needed.
  • File Organization and Compliance: Maintain organized digital and paper participant files in strict accordance with program guidelines, agency policies, and funder requirements. Ensure that all documentation is complete, properly labeled, and easily retrievable.
  • Cross-Functional Collaboration: Work closely with program staff to support, enhance, and promote clear communication, operational consistency, and high-quality service delivery across all Energy Services initiatives.
  • General Clerical Support: Assist with various clerical duties, including filing, mailings, phone coverage, document preparation, and other administrative tasks that support the broader team's effectiveness.
  • Remote Work Availability: Maintain consistent availability during remote work hours to attend virtual meetings, participate in calls, respond promptly to emails, and conduct regular duties without interruption.
  • Meeting and Training Participation: Attend all required staff meetings, supervision sessions, training programs, and contractual meetings. Participate fully in mandatory agency training and ongoing professional development opportunities.
  • Confidentiality Maintenance: Ensure strict confidentiality is maintained across all aspects of the role, particularly when handling sensitive client information and protected data.
  • Additional Duties: Perform related work and special projects as required to support the Energy Services Programs and the agency's broader mission.

Required Qualifications and Skills

Education and Experience

  • Associate degree from an accredited institution, or equivalent professional experience in a related field.
  • Minimum of two years of experience in human services, social services, or a closely related field, with demonstrated ability to work effectively with diverse individuals and families, including those with low incomes.
  • A combination of additional appropriate education and directly related experience may be substituted for the above requirements on a year-for-year basis.

Technical and Professional Competencies

  • Exceptional typing speed and accuracy with a strong command of data entry best practices.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams) and comfort learning new software platforms quickly.
  • Experience working with customer relationship management (CRM) systems, case management databases, or workflow management tools such as Monday.com is highly preferred.
  • Strong organizational skills with the ability to manage multiple priorities, deadlines, and tasks simultaneously in a fast-paced remote environment.
  • Excellent written and verbal communication skills.
  • Ability to work independently with minimal supervision while maintaining a high level of productivity and accountability.

Preferred Qualifications

  • Bilingual fluency in Spanish and English is strongly preferred, reflecting the linguistic diversity of the communities arenaflex serves.
  • Prior experience with energy assistance programs such as LIHEAP, HEARTWAP, or weatherization initiatives is a significant plus.
  • Familiarity with state and federal funder reporting requirements is advantageous.
