Remote · USA Full-time New today

Join arenaflex: Make a Meaningful Impact in Healthcare Every Single Day

At arenaflex, we believe that every phone call, every conversation, and every interaction has the power to change someone's life. We are a forward-thinking organization committed to delivering vital information that helps patients, healthcare providers, and clinical partners understand health outcomes with clarity, compassion, and precision. Our work goes far beyond traditional customer service — we are the critical link between laboratory science and the people whose lives depend on timely, accurate results.

We are currently seeking a dedicated and empathetic Customer Service Representative – Alerts/Panics to join our dynamic and growing team. If you have a genuine passion for helping people, thrive in fast-paced environments, and possess exceptional communication skills, this could be the perfect next chapter in your professional journey. At arenaflex, you'll be part of a mission-driven organization where your contributions directly support patient care and clinical decision-making across the country.

Position Overview

As a Customer Service Representative specializing in Alerts and Panics, you will serve as the primary liaison between arenaflex, our extensive customer base, and the patients we serve. This is not a typical call center role — you will be responsible for handling time-sensitive, critical communications that require accuracy, urgency, and a calm, professional demeanor. Your ability to deliver clear information during high-stakes moments will directly impact patient outcomes and provider confidence in our services.

Key Responsibilities

  • Act as a professional liaison between arenaflex, customers, and patients, ensuring seamless communication and service delivery across all touchpoints
  • Resolve routine and complex customer requests related to products and services through inbound calls, outbound calls, email correspondence, and internet-based communication channels
  • Speak with customers in a courteous, friendly, and professional manner, following established protocol procedures while demonstrating empathy and patience
  • Inquire, clarify, and confirm customer requirements to ensure complete understanding of their needs and the solutions provided
  • Provide additional customer education, resources, and information as needed to support informed decision-making
  • Qualify and establish new customer accounts for those requesting arenaflex's products and services via inbound inquiries
  • Navigate multiple databases and systems to research complex issues, retrieve test results, and answer detailed questions
  • Notify clients of test results in a timely, accurate, and confidential manner, paying special attention to critical or time-sensitive alerts
  • Review test requisition forms for accuracy, completeness, and report any discrepancies to the appropriate internal teams
  • Participate in continuous improvement activities designed to enhance customer satisfaction, operational efficiency, and overall business performance
  • Perform administrative support functions including medical record management, CRM data maintenance, and internal record-keeping to ensure strict HIPAA compliance and data integrity

Work Schedule

This is a full-time position with a consistent schedule of Monday through Friday, 9:00 am to 5:30 pm EST, with alternating Saturday shifts. We believe in work-life balance and provide advance notice of schedule changes to help you plan accordingly. Our structured yet supportive scheduling ensures you have predictable hours while serving customers across multiple time zones.

Essential Qualifications

  • Education: High School Diploma or equivalent is required
  • Preferred Education: Associate's or Bachelor's degree in a related field
  • Experience: Previous experience in a customer service role, preferably in a contact center or call center environment
  • Industry Knowledge: Prior healthcare industry experience, such as working in a physician's office, hospital, or clinical setting, is highly valued
  • Technical Skills: Proficiency in the Microsoft Office suite (Word, Excel, Outlook, PowerPoint) is required
  • System Experience: Familiarity with Salesforce.com and/or Laboratory Information Systems is preferred
  • Communication Skills: Strong verbal and written communication abilities with excellent listening and response capabilities
  • Customer Focus: Courteous demeanor with a strong customer service orientation and genuine desire to help others
  • Multitasking: Excellent ability to manage multiple tasks, systems, and conversations simultaneously
  • Adaptability: Strong flexibility and the ability to manage and adapt to changing priorities quickly in a dynamic environment
  • Language Skills: Bilingual proficiency in English and Spanish is highly desirable

Core Competencies for Success

Beyond the technical qualifications listed above, successful candidates at arenaflex demonstrate a unique blend of soft skills and personal attributes that enable them to excel in this critical role. We are looking for individuals who embody professionalism under pressure, maintain composure during high-volume periods, and exhibit a proactive approach to problem-solving. Emotional intelligence, attention to detail, and a commitment to accuracy are essential traits that define our top performers.

You should be comfortable working with sensitive medical information, maintaining strict confidentiality, and following detailed protocols. The ability to type efficiently while engaging in meaningful conversation, navigate between multiple software platforms, and document interactions accurately will be key to your success. We value team players who contribute positively to our collaborative culture and who take ownership of their professional development.
