Role Overview

This remote position is designed for a detail‑oriented, proactive professional who thrives in a fast‑paced environment. You will be responsible for entering sales orders, setting up new client accounts, managing standing orders, handling exception processing, and processing freight claims—all while upholding arenaflex’s Core Values and safety standards.

Key Responsibilities

1. Sales Order Entry & Accuracy

  • Enter daily sales orders with a target error rate of no more than 2 errors per month.
  • Verify order details, pricing, and product codes to ensure complete accuracy before submission.
  • Collaborate with sales representatives to resolve any discrepancies or missing information.
  • Maintain meticulous records of all order entries for audit and reporting purposes.

2. New Client Setup & Account Management

  • Create and configure new client profiles in the arenaflex system, ensuring all required fields are populated.
  • Coordinate with internal teams (sales, finance, and logistics) to activate new accounts promptly.
  • Provide onboarding support to new clients, answering questions about order placement, tracking, and invoicing.

3. Standing Order Administration

  • Establish initial standing orders for customers, including schedule, quantity, and delivery preferences.
  • Maintain standing orders by processing holds, releases, and additions in accordance with client requests.
  • Track performance metrics for standing orders, ensuring errors remain within the same 2‑error monthly threshold applied to sales order entry.

4. Exception Processing & Case Management

  • Log and resolve exceptions in the Case module, documenting each step for future reference.
  • Generate credit memos, file freight claims, issue call tags, and follow the defective product procedure as required.
  • Coordinate reshipments and ensure that all corrective actions are communicated to the customer and internal stakeholders.

5. Freight Claims & Dispute Resolution

  • Process freight claims promptly, gathering all necessary documentation and evidence.
  • Engage carriers to dispute claim denials and pursue payment, maintaining a professional and persistent approach.
  • File claim paperwork accurately, tracking claim status until resolution.

Essential Qualifications

  • High school diploma or equivalent; associate or bachelor’s degree in business, logistics, or related field preferred.
  • Minimum 2 years of experience in customer service, order entry, or logistics support.
  • Proven ability to maintain high accuracy in data entry (error rate ≤ 2 per month).
  • Strong understanding of freight claim processes and basic knowledge of carrier operations.
  • Excellent written and verbal communication skills, with a customer‑first mindset.
  • Demonstrated reliability in attendance and punctuality, meeting the attendance metrics outlined above.
  • Comfortable working remotely with a dedicated home office setup and reliable internet connection.
