Position Overview

We are seeking a meticulous, self‑motivated Remote Data Entry Clerk / Administrative Assistant to join our dynamic operations team on a part‑time basis. This role is pivotal to the smooth functioning of our accounting and sales departments, ensuring that critical data flows accurately and efficiently across our systems. You will be the backbone of our data‑management processes, handling everything from sales record entry to CRM updates, while also providing essential administrative support that keeps the office humming.

Key Responsibilities

Data Management & Accuracy

  • Enter sales data, invoices, and purchase orders into the company’s ERP system with a focus on precision and zero errors.
  • Maintain and regularly update the Customer Relationship Management (CRM) database, ensuring that all client interactions, leads, and follow‑ups are accurately recorded.
  • Reconcile daily, weekly, and monthly accounting records, flagging discrepancies for review by the finance team.
  • Perform regular data audits to verify the integrity of information across multiple platforms.

Administrative Support & Office Operations

  • Process incoming mail, scan and digitize documents, and route them to the appropriate departments.
  • Prepare and submit bank deposits, expense reports, and other financial paperwork in a timely manner.
  • Assist the sales team by tracking leads, scheduling follow‑up calls, and updating prospect status.
  • Provide general administrative assistance, such as calendar management, meeting coordination, and travel arrangements when needed.

Team Collaboration & Continuous Improvement

  • Act as a proactive liaison between accounting, sales, and customer service teams, ensuring seamless communication and workflow.
  • Identify opportunities to streamline processes, reduce manual effort, and improve data quality, then propose actionable solutions.
  • Participate in regular virtual team meetings, sharing insights, progress updates, and any challenges that arise.

Essential Qualifications

  • Computer Proficiency: Demonstrated ability to navigate Windows or macOS environments, with strong typing speed (minimum 60 WPM) and accuracy.
