Records & Investigations Team Lead Position Summary Zinda Law Group is a rapidly growing personal injury law firm committed to helping people during some of the most difficult moments of their lives. We are seeking a highly organized, detail-oriented, and experienced Records & Investigations Team Lead to oversee the team responsible for medical records, investigative documentation, and vendor-supported records and investigations work. This role reports to the Director of Legal Operations and supports two key functions: Legal Assistant – Investigations and Paralegal – Medical Records. The ideal candidate has law firm experience and has helped lead team execution through training, coaching, work review, workflow management, issue escalation, KPI reporting, vendor follow-up, and process improvement. This person should bring leadership, ownership, urgency, attention to detail, and the ability to hold both internal team members and third-party vendors accountable. This role is remote or hybrid, if you are in the Austin, Texas, area.

Key Responsibilities

Team Leadership & Oversight Serve as the day-to-day lead for the Medical Records and Investigations team. Train, coach, and guide Legal Assistants – Investigations and Paralegals – Medical Records. Assign, prioritize, and monitor work to ensure deadlines, quality standards, and firm expectations are met. Audit work product for accuracy, completeness, organization, and process compliance. Help onboard new team members and reinforce standards around communication, follow-up, documentation, and accountability. Resolve or escalate issues involving records, investigations, vendors, providers, or internal legal teams. Escalate recurring errors, performance concerns, or operational roadblocks to the Director of Legal Operations. Records, Billing & Investigations Oversight Oversee the drafting, submission, tracking, follow-up, and completion of medical records, billing requests, and investigative assignments. Ensure records, bills, investigative reports, scene diagrams, evidence summaries, and related documentation are accurate, complete, organized, and useful to the legal team. Troubleshoot incomplete records, incorrect provider information, rejected requests, missing documentation, delayed responses, and investigation-related issues. Coordinate with attorneys, paralegals, providers, vendors, and legal teams to resolve records and investigations issues quickly. Support investigative work, including locating witnesses, conducting background checks, coordinating inspections, identifying sources of recovery, and gathering information needed to prove the client’s case. Ensure the team follows all policies, procedures, deadlines, documentation standards, and quality expectations. Vendor Management Serve as the primary operational point of contact for third-party vendors supporting records, billing, investigations, background checks, inspections, and related services. Track vendor performance, turnaround times, quality, responsiveness, and issue resolution. Hold vendors accountable to firm expectations and service standards. Escalate vendor delays, quality concerns, or recurring issues to the Director of Legal Operations. Recommend process or vendor changes when needed to improve speed, accuracy, or reliability. Process Improvement & Reporting Help build, maintain, and improve workflows, checklists, templates, and standards for records and investigations work. Track backlog, aging requests, turnaround times, vendor delays, and recurring quality issues. Provide regular updates to the Director of Legal Operations on team performance and operational risks. Identify recurring problems and propose practical solutions. Support a metrics-driven, process-oriented department that delivers consistent results.

Qualifications

At least 3 years of law firm experience required, with 2+ years in personal injury, medical records, investigations, litigation support, or case-building work strongly preferred. At least 1–2 years of experience leading, training, coaching, auditing work product, managing workflows, resolving escalations, reporting on KPIs, or supervising team execution required. Experience managing vendors or holding third-party service providers accountable. College degree or paralegal certificate required. Strong understanding of legal case documentation, records retrieval, provider communication, and litigation support. Excellent technology utilization skills and ability to work efficiently in case management systems, Microsoft Office, and related platforms. Highly organized, detail-oriented, and process-driven. Excellent written and verbal communication skills. Able to work in a fast-paced environment and manage multiple priorities. Strong judgment, ownership, and follow-through. Able to maintain confidentiality and handle sensitive information appropriately. Strong team-oriented mindset and willingness to help wherever needed.
