In this role, you'll serve as a frontline HR support resource for our distributed chat operations team, handling inquiries through online chat platforms, coordinating onboarding logistics, maintaining employee records, and contributing to a workplace culture that values respect, responsiveness, and results. What You'll Do: Key Responsibilities

Online Chat Support & Employee Communication

  • Serve as the first point of contact for call center and chat support team members who reach out with HR-related questions via online chat platforms, email, and internal messaging systems.
  • Provide timely, accurate, and empathetic responses to inquiries regarding policies, benefits, scheduling, payroll, and general workplace concerns.
  • Escalate complex or sensitive matters to senior HR partners while maintaining ownership of follow-up and resolution tracking.
  • Maintain a professional, friendly, and solution-oriented tone in every interaction, reflecting the values and culture of arenaflex.

Recruitment, Onboarding & New Hire Experience

  • Assist in coordinating the end-to-end recruitment process for chat support roles, including drafting and posting job advertisements, reviewing incoming applications, and conducting initial candidate screenings.
  • Schedule interviews between candidates and hiring managers using calendar and applicant tracking tools.
  • Facilitate a smooth and welcoming onboarding experience for new hires, ensuring they receive proper documentation, system access, training schedules, and welcome materials.
  • Serve as a friendly guide for new employees during their first weeks, helping them integrate into the arenaflex team and culture.

Employee Relations & Engagement

  • Act as a trusted resource for employees seeking guidance on workplace issues, conflict resolution, or HR policies.
  • Support employee engagement initiatives, including virtual team-building events, recognition programs, wellness campaigns, and feedback surveys.
  • Partner with call center leadership to identify trends in employee concerns and proactively recommend improvements.
  • Help foster an inclusive, supportive remote work environment where every team member feels heard and valued.

HR Administration & Record Management

  • Maintain accurate and up-to-date employee records, including attendance, performance reviews, personal information, and employment history within the HRIS system.
  • Process HR documentation such as employment contracts, role changes, pay adjustments, and termination paperwork with precision and confidentiality.
  • Audit employee data regularly to ensure compliance and data integrity across all HR platforms used by arenaflex.
  • Generate reports on key HR metrics such as turnover, headcount, absenteeism, and training completion.

Training, Development & Compliance

  • Coordinate logistics for training sessions, workshops, and professional development programs designed for chat support staff.
  • Track employee participation and progress in training initiatives, ensuring timely completion of required modules.
  • Stay informed about employment laws, industry best practices, and arenaflex internal policies to provide accurate guidance and maintain compliance.
  • Prepare HR-related reports and presentations for management review on a recurring basis.

Cross-Functional Collaboration

  • Work closely with HR team members, call center operations managers, and talent acquisition partners to align HR support with business needs.
  • Participate in HR projects and initiatives, from policy updates to system implementations and culture-building campaigns.
  • Provide feedback and recommendations to improve HR processes, tools, and communication strategies across the organization.

What We're Looking For: Qualifications & Experience

Education

  • Bachelor's degree in Human Resources, Business Administration, Psychology, Communications, or a closely related field.
  • HR certification (such as SHRM-CP, PHR, or equivalent) is a strong plus but not required.

Professional Experience

  • Minimum of 2 years of experience in an HR, people operations, or employee support role.
  • Prior experience supporting a call center, customer service, or remote operations environment is highly preferred.
  • Familiarity with online chat support tools and remote workforce dynamics is a significant advantage.
